Information About Passport for Nepalese

The Embassy of Nepal, Canberra, has started live-enrollment of e-Passport from 7 April 2022. The e-Passport system requires the applicants to be physically present at the Embassy for live enrollment.  Hence, the applications for Machine Readable Passport (MRP) dispatched via post after 12 April 2022 will not be accepted.

Applicants for e-Passport should compulsorily fill up online pre-enrollment form and book their appointment.  They must visit the Embassy in person on allocated date and time for live enrollment. No separate email or telephone call for appointment is required. 

Information on the procedures for pre-enrollment:

Pre-Enrollment for e-Passport:

1)   Open the link  https://emrtds.nepalpassport.gov.np/

2)   Click on apply for passport

3)   Select the type of application from the options available

a)   Select First Issuance for a newborn’ passport and for the renewal of a handwritten passport

b)   Select Renewal for the renewal of a passport

c)    Select Replacement (Lost/Stolen) for the replacement of a lost/stolen passport

d)   Select Replacement (Damaged) for the replacement of the damaged passport

4)   Select Ordinary 34 Pages and click on Proceed

5)   Click on I Agree

6)   Fill up the Demographic Information, Citizenship Information, Applicant’s Contact Details and Contact Details in Case of Emergency (All mandatory fields as indicated by asterisk (*) must be filled in. National Identity Number (NIN) is not required.

7)   Click on Next and upload the required documents (the documents must be in jpeg/png format, and the size should not exceed 400kb). Select Minor for uploading documents for applicants less than 16 years of age, and Major for applicants above 16 years of age.

8)   Click on Next

9)   Select Other for Appointment Country

10)  Select NE, Canberra for Appointment Location

11)  Select Date and time of Appointment, then click on Next

12)  Double check all the details in Application Summery and edit if necessary.

13)  Click on Save

14)  Note down your Request Number and click on Finish

15)  Click on Download PDF

16)  Print the downloaded form and bring it to the Embassy with you on the given date and time. (If the date of appointment falls on Weekend/Public holidays, you are requested to visit the Embassy on the day after such weekend/holidays)

(Please note that if you do not visit the Embassy on your scheduled date and time, the Embassy will no longer be able to receive your application. In such case, you are required to reschedule a new appointment.)

Documents to be uploaded by different applicants:

a) For Newborn’s Passport:

  • Minor Citizenship Certificate (If the newborn is yet to obtain it, Birth Registration Certificate issued    by the competent authority of the country of birth)
  • Marriage Registration Certificate of parents
  • Passports of parents (Photo page and page 3)
  • Citizenship Certificates of parents (front and back page)
  • Valid Visas (First and Second Page) of parents

(The e-Passport will be issued with a validity period of 5 years to such children. Within this period the child must obtain Minor Citizenship Certificate from his/her respective District/Area Administration Office in Nepal and must submit it for the next renewal.)

b) For renewal of a Minor’s Passport

  • Minor Citizenship Certificate (first and second page). If the applicant has not yet obtained the  Minor Citizenship Certificate from Nepal, the Birth Registration Certificate issued by the  competent authority of the country of birth.
  • Front page (photo page and page 3) and back page (page 31) of the current passport
  • Valid visa

(The e-Passport will be issued with a validity period of 5 years to such minors. The validity of passport of the minor’s aged between 10-16 will be 10 years. Within this period the minor must obtain Minor Citizenship Certificate from his/her respective District/Area Administration Office in Nepal and must submit it for next renewal.)

c) For renewal of Adults’ Passport

  • Nepali Citizenship Certificate (front and back Page)
  • Front page (photo page and page 3) and back page (page 31) of the current passport
  • Valid Visa

(Applicants above 16 years without citizenship certificate due to not being able to travel to Nepal to obtain such certificate can apply for passport renewal with validity of 2 years. Such applicants must submit Minor Citizenship Certificate in place of Citizenship Certificate. Within this period, they must travel to Nepal and obtain Citizenship Certificate if they again need to renew their passport.

d) For Replacement of Lost/Stolen passport

  • Nepali Citizenship Certificate (front and back Page)
  • Front page (photo page and page 3) and back page (page 31) of the current passport
  • Valid Visa
  • A signed application addressed to the Embassy with details of lost passport and police report  number

e) For replacement of damaged passport

  • Nepali Citizenship Certificate (front and back Page)
  • Front page (photo page and page 3) and back page (page 31) of the current passport
  • Valid Visa

Please be informed to bring all the original documents with you. If you don’t have the original citizenship certificate, bring its copy (preferably color copy).

If one fails to produce original copy of his/her Citizenship Certificate and has submitted its copy only, the verification/authentication process through concerned authority in Nepal may take longer and cause delay in issuance of e-Passport.

Passport Fees

For new passport, renewal:   Australian Dollar 230.00 for adults and Australian Dollar 115.00 for children below 10 years.

For lost/stolen/damaged passport: Australian Dollar 460.00 for adults and Australian Dollar 230.00 for children below 10 years

No EFTPOS facility is available at the Embassy, only applicable cash/Money Order or Bank Check made in the name of ‘Embassy of Nepal’ is accepted.

Send the following documents by post to our postal address:

  • Duly filled in pre-enrollment form (the form must be signed by their parents)
  • Minor Citizenship Certificate (If the applicant has not yet obtained the Minor Citizenship Certificate from Nepal, the Birth Registration Certificate issued by the competent authority of the country of birth.)
  • Colour copy  of Parents’ Marriage Registration Certificate
  • Parents’ Passports (original)
  • Colour copies  of Parents’ Citizenship Certificates
  • Valid Visas of parents (First and Second Page)
  • 35mm X 45mm sized high resolution borderless photos (2 pieces) with white background. Please don’t put any TIKA on forehead. Photo with tika will not be accepted.
  • Money Order or Bank Check of required amount made in the name of ‘Embassy of Nepal, Canberra’

A self-addressed (write your full address in the recipient side of the envelope) postage paid return envelope (preferably signature on delivery post or Registered Post) must be sent along with the application to collect the parents’ original documents back.)

General Information:

  • The applicant must be physically present at the embassy for live enrollment for e-Passport.
  • The applicants above 5 years of age are not required to bring photos for e-Passport. But the applicants under 5 years must bring 35mm X 45mm sized high resolution borderless photo with white background.
  • Do not write Mr./Mrs./ Ms./Dr. etc. with first name. Write middle name (if any) with the first name unless your existing document/s require otherwise.
  • Compulsorily fill up the mandatory details as indicated by the asterisk (*).
  • Applicants are requested to apply for e-Passport with sufficient time-margin as it takes more than two months to issue an e-Passport from the date of application.
  • MRPs can also be used as long as they are valid. Hence, no need to apply for an e-Passport if the validity is more than a year.

Collecting the Passport:

Once the e-Passport is ready, it is published in the e-Passport Status of the Embassy’s website. If the applicant’s full name and old passport/birth certificate number are seen on the Status, the applicant may collect the passport by visiting the Embassy personally with old passport/copy of birth certificate.

The applicant may collect the passport by authorizing someone to collect it on his/her behalf as well. For this, the following documents must be sent to: [email protected]

–      A signed authorization letter addressed to the Embassy

–      A copy of the applicant’s passport/birth registration  certificate and

–      A copy of the authorized person’s ID

The previous passport must be presented to the embassy for cancellation at the time of collecting the new one.

Alternatively, the applicant may send a self-addressed (write your full address in the recipient side of the envelope) postage paid return envelope (preferably signature on delivery post or Registered Post) to the Embassy’s following postal address to collect the passport.

If the applicant has already left the self-addressed return envelope, his/her passport will be dispatched only after h/she confirms his/her full delivery address via email.
